Triptelligence Privacy Policy

Last updated: 28th July 2026. This policy explains how EVOLVE Advice Ltd collects and uses personal data through the Triptelligence platform (triptelligence.co.uk).

1. Who we are

Triptelligence is provided by EVOLVE Advice Ltd, a company registered in England and Wales (company number 10811635), with its registered office at 21 Market Place, Long Buckby, Northamptonshire, NN6 7RR. EVOLVE Advice Ltd is the data controller for the personal data described in this policy.

2. What Triptelligence is

Triptelligence is an insights platform covering school trips and co-curricular activity. It is free for schools, Multi-Academy Trusts and Local Authorities to use, and is funded through paid dashboard subscriptions for trip providers. Data underpinning the platform is gathered through our native app and data supplied by our data partner eduFOCUS (operators of the EVOLVE system), and is aggregated into sector-level and provider-level insights.

3. The personal data we collect

Triptelligence is designed around school and provider-level information rather than pupil data. We do not collect or process pupil names, pupil ages, or any other pupil-identifiable data through the platform. The personal data we do collect is limited to:

●      Contact and account details for school staff and Educational Visits Coordinators (EVCs), such as name, job title, school name, email address and phone number.

●      Contact and account details for trip provider representatives who register for or use a paid Triptelligence dashboard, such as name, job title, company name, email address and phone number.

●      Survey response data submitted by schools or providers via our app, relating to trip volumes, destinations, providers used, and related operational detail at school or organisation level.

●      Technical data such as IP address, browser type, device information and usage data collected automatically when you use our website or app.

●      Communications you send to us, such as support enquiries or feedback.

4. How we use your personal data

We use personal data for the following purposes:

●      To create and manage school and provider accounts and provide access to Triptelligence.

●      To generate the aggregated insights, benchmarking data and provider dashboards that make up the Triptelligence service.

●      To communicate with you about your account, service updates, or in response to enquiries.

●      To invoice and administer paid subscriptions for provider dashboards.

●      To maintain the security, performance and improvement of the platform.

●      To send you service-related or marketing communications where you have agreed to receive them, or where permitted by our legitimate interests, and always with the ability to opt out.

5. Our legal basis for processing

We rely on the following legal bases under UK GDPR:

●      Contract: to provide the Triptelligence service to schools and to paying provider subscribers.

●      Legitimate interests: to develop and improve the platform, produce sector-level insights, and communicate with users about the service, in a way that does not override your rights and interests.

●      Consent: for marketing communications where you have opted in, which you can withdraw at any time.

●      Legal obligation: where we need to retain or disclose information to comply with the law.

6. Sharing your personal data

We share personal data with the following categories of recipient, under appropriate contractual safeguards:

●      IT hosting, email and payment processing providers who support the operation of the platform.

●      Professional advisers, such as accountants or solicitors, where necessary.

●      Regulators or law enforcement, where required by law.

We do not sell personal data. Provider-facing dashboards present aggregated and benchmarked data; they are not used to expose identifiable data about individual schools' staff without a lawful basis for doing so.

7. International transfers

Our service providers may process data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or adequacy regulations, before any transfer takes place.

8. How long we keep your data

We retain personal data for as long as your school or organisation has an active Triptelligence account, and for 7 years afterwards to meet our legal, accounting and reporting obligations. Aggregated or anonymised data, which no longer identifies any individual, may be retained indefinitely for sector research and benchmarking purposes.

9. Your rights

Under UK GDPR, you have the right to:

●      Access the personal data we hold about you.

●      Request correction of inaccurate data.

●      Request erasure of your data, in certain circumstances.

●      Object to or restrict certain processing.

●      Request a copy of your data in a portable format.

●      Withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, contact us using the details in Section 1. You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you believe we have not handled your data properly.

10. Cookies

Our website and app use cookies and similar technologies to operate correctly, remember your preferences, and understand how the platform is used. You can control cookies through your browser settings.

11. Children's data

Triptelligence is intended for use by school staff, EVCs and trip provider representatives, not by pupils, and we do not knowingly collect data directly from children. As set out in Section 3, no pupil-identifiable data is processed through the platform.

12. Security

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse, and we require our service providers to do the same.

13. Changes to this policy

We may update this policy from time to time to reflect changes to Triptelligence or to data protection law. The date at the top of this policy shows when it was last revised. Material changes will be notified to registered users.
